A. Job Purpose

This position is for a full-service, bilingual French-English medical office assistant, providing services in a Francophone community health centre within a team-based care model.

B. Areas of Authority

This role reports to the Executive Director of RésoSanté and to the CHC Operations Manager. Our health care team includes physicians, several registered and licensed practical nurses, social workers, and well trained and friendly support staff. They offer an interdisciplinary approach to health care, and encourage patients to be active participants in their health as well as to take responsibility for their own health status. The ongoing education of medical personnel is an important aspect of the clinic’s responsibility to the community. 

C. Primary Duties and Responsibilities

  • Perform receptionist duties both over the phone and in person for the health clinic, including
    – Greet patients, guests, and business representatives;
    – Answer incoming calls and respond to routine inquiries, forwarding calls to the relevant team members;
    – Manage patient behavior in the waiting area by listening to them, providing support, validating their concerns, and employing de-escalation techniques in case of disruptive behaviors;
    – If necessary, contact the head of the clinical team or another appropriate staff member for assistance.
  • Reception and Appointment Management:
     Provide reception services to new clients by assessing their needs or directing them to the appropriate clinician;
    – Assist with documentation related to client reception;
    – Direct and schedule client appointments with the appropriate member of the healthcare team, including reminders and/or follow-up;
    – Manage patient records;
    – Provide other services to clients as directed by clinicians.
  • Medical Support upon Request:
    – Schedule and coordinate tests, and/or liaise with the pharmacy or other service providers;
    – Take vital signs, such as blood pressure;
    – Provide administrative and office support to all healthcare team members;
    – File patient histories and treatment records in a manner that allows easy location and quick retrieval, and archive records.
  • Attend staff meetings and other team activities, accurately type the minutes of various meetings.
  • Manage medical and office supplies, including:
    – Inventory control and ordering of consumable medical supplies;
    – Storage;
    – Sterilization of equipment.

D. Qualifications and skills

Qualifications

  • High school diploma;
  • Valid Medical Office Assistant certification in Canada;
  • Customer service experience is an asset;
  • Proficiency in computer tools, including Microsoft Office and internet browsers.

  • Bilingual (oral and written) in English and French required
  • Organizational skills;

  • Ability to manage competing deadlines and prioritize tasks.
